This privacy policy explains how NP Circle (referred to as "we," "us," or "our") collects, uses, and discloses information from individuals (referred to as "you" or "your") who access and use our online community or mobile or other downloadable applications (collectively, the "Community"). Beyond this Privacy Policy, your use of the Community is also subject to our Terms of Service.
We reserve the right, at our discretion, to change, modify, add, or remove portions of this Privacy Policy at any time. If we make changes, we will notify you by revising the date at the top of the policy and, in some cases, we will provide you with additional notice. We encourage you to review the Privacy Policy whenever you access the Community to stay informed about our information practices and the choices available to you.
1. Personal Information We Collect
Personal Information You Provide to Us
Registration and Profile Information: When you open an account with us through the Community, we may ask you to provide us with identifiers and contact information such as your name, email address, and any other professional profile details you share.
Communications: We collect identifiers, such as your name and email address, when you participate in interactive features of the Community, fill out a form, publish statements on our platform, participate in promotions, request customer support, or otherwise communicate with us.
Messages Between Members: When you communicate with other members through the Community, we and Circle receive the content of the messages you send and receive information about those messages, such as when it was sent or received.
Content: We collect other content and information you share through the Community when you post posts and submit comments, or otherwise interact with the platform.
Payment Information: If you make a purchase through the Community, your payment card or financial data is securely collected by our third-party payment processor on our behalf.
Personal Information Collected Automatically
When you access or use the Community, we and Circle may automatically collect information about how you access the platform and the device you use, including:
Device Identifiers: Identifiers such as your IP address, internet service provider, mobile device type, unique device identifiers (UDID), and identifiers associated with browser cookies or web beacons.
Network Activity Information: Information about the devices and computers you use to access our Community, such as browser type, language, operating system, referring web pages, pages visited, hyperlinks clicked, videos watched, and your location during interactions.
Usage Recording: We may use platform analytics to record your interactions, including mouse movements, scrolling, clicks, keystroke activity, search behavior, and text inputs entered while using community chat or interactive features.
Geolocation Information: We may derive the approximate location of your device from your IP address or postal code. You can stop the collection of precise location information via your device settings at any time.
Information From Cookies and Similar Technologies
We and our third-party analytics and advertising partners collect information using cookies, pixel tags, or similar technologies to track your online activities over time and across different services. We use both session cookies, which disappear after you close your browser, and persistent cookies, which remain for subsequent visits. You may modify your cookie settings through your browser, though disabling them may limit your utilization of Community features.
Information Collected from Third Parties
When you interact with members in the Community, we may collect any content or information you share. We may also obtain information from social media platforms, marketing partners, and other third parties. For example, logging in through a social media site shares certain profile data with us.
2. Exclusion of Patient Information and Data Safety
Professional Scope Exclusively: NP Circle collects personal information exclusively related to our professional members.
Strict Prohibition of Patient Data: The Community is not a patient platform, electronic health record system, or clinical diagnostic utility. We do not intentionally collect, store, or process Protected Health Information (PHI) or personal patient records under any regional framework, including Canadian privacy laws or the United States HIPAA rules.
Remediation Protocol: Members are strictly forbidden from uploading un-anonymized patient cases. In the event that patient data or identifying details are inadvertently posted, NP Circle will immediately delete the data upon discovery, execute data safety protocols, and reserves the right to restrict or terminate the offending member’s account to preserve public privacy.
3. Personal Information Usage
We use the information we collect about you to:
Provide, maintain, and improve the Community, and personalize your experience.
Distribute our weekly educational newsletter, clinical updates, and course notices.
Process, complete, and maintain records on financial transactions.
Send you technical notices, updates, security alerts, and administrative messages.
Respond to your comments, questions, and provide customer service.
Monitor and analyze trends, usage, effectiveness, and activities across the platform.
Detect, investigate, and prevent fraudulent actions or protect the property of NP Circle.
Maintain appropriate records for internal administrative purposes or carry out any other purpose permitted by law.
4. Personal Information Disclosure and Partner Guardrails
We may disclose the information we receive as follows:
With Industry Stakeholders and Sponsors: NP Circle works with industry stakeholders. We share only aggregated, fully anonymized, group-level data metrics with these partners. We strictly never sell, rent, or distribute private personal member identities or email addresses to corporate sponsors or third-party partners without your separate, explicit consent.
With Circle: The Community is powered by a technology platform provided by CircleCo, Inc. We disclose your data to Circle to enable community functionality.
With Service Providers: To vendors, consultants, and technical service providers retained to help operate the platform.
With Other Members: Any posts, photos, or comments shared in your private space groups can be seen by other authorized community members who have access to those specific threads. All shared data is kept secure within our closed platform ecosystem and is not shared externally on other websites or indexed by public search engines.
With Legal Authorities: To governmental agencies or authorized third parties in response to a verified legal request, criminal investigation, or if we believe disclosure is required by law or to protect against legal liability.
With AI Providers: We use trusted AI-powered tools through Circle, operating on models built by providers such as OpenAI or AWS, to assist with community functionality. Your data is processed securely but is never stored by the AI provider or used to train external AI models.
Business Changes: In connection with, or during negotiations of, any merger, sale of assets, financing, or corporate acquisition.
5. International Data Transfers and Canadian Privacy Rights
NP Circle proudly serves professional Nurse Practitioners across both Canada and the United States.
Cross-Border Data Transfers: The Community is hosted on secure servers located in the United States. If you access the platform from Canada, your personal member account data, such as registration details and forum posts, will be transferred to and processed in the U.S. By creating an account, you acknowledge and consent to this transfer.
Canadian Privacy Compliance: We respect your rights under Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and relevant provincial privacy legislation.
Your Rights: Canadian members have the right to request access to the personal information we hold about them, request corrections to inaccurate account data, or withdraw consent to data processing. To exercise these rights, please contact our privacy coordinator at info@npcircle.ca.
6. Children's Privacy
The Community is not intended for individuals under the age of 16. No one under the age of 16 is authorized to provide any personal information through the Community, and we do not knowingly collect personal information from members in this age group. If we learn that we have received personal information from a child under 16, we will take steps to delete that information immediately. 7. Social Sharing Features and Third Parties
The Community may offer social sharing features or links to external websites not controlled by us. Using these features enables sharing with your peers or the general public depending on your internal account parameters. We do not endorse, screen, or approve, and are not responsible for, the privacy practices or content of third-party platforms, and visiting them is done entirely at your own risk.
8. Security
We make reasonable efforts to protect your information by using security measures designed to safeguard the information we maintain. However, because no electronic transmission or storage of information can be entirely secure, we can make no absolute guarantees as to the total security or privacy of your information.
9. Your Choices and Anti-Spam Opt-Outs
Account Information: You may update and correct certain Account information at any time by logging into your profile. If you wish to delete or deactivate your Account, you may email us at info@npcircle.ca, though we may retain certain information as required by law or for legitimate business purposes.
Weekly Newsletter and Email Communications: In compliance with Canadian Anti-Spam Legislation (CASL) and the U.S. CAN-SPAM Act, you hold an unconditional right to unsubscribe from our weekly educational newsletter or promotional email distributions. You can opt out at any time by clicking the "Unsubscribe" link embedded within the footer of any email received. You will continue to receive necessary transactional or administrative updates regarding your primary account status.
Location Information: You can halt the collection of automated location information at any time through your device's operating system settings, though certain platform features may subsequently cease to function properly.
Mobile Push Notifications: With your consent, we may send push notifications or alerts to your mobile device. You can deactivate these at any time by changing the notification settings on your mobile device.
